How to analyze result from group emails send from Outlook?



Sent emails do not mean that your email campaign has ended.  After the emails have been delivered, it's crucial to measure the performance of your email marketing 
Measuring the performance of your email campaigns is equally as important as composing and sending a well-written email 


No matter how much effort you put into an email, it's no use if the recipients do not open it.

If you have a solid understanding of who and how many opened the email on which days of the week and at what time of the day, you can use this data to send emails during the time of day when recipients are most likely to open them.

Four metrics for analyzing your email's performance


1. Open rate

This is percentage of recipients who opened your email.

  • Total emails sent (Sending Count)
  • The number of emails opened (Viewed (Duplicates))
  • Open rate (Viewing Rate) ☞ (The number of opens) or (The number of unique opens) ÷ Total number of recipients × 100

2. The number of emails opened by recipient

You can determine the recipients' degree of interest using the number of emails opened by each recipient. Running a follow-up campaign targeting recipients that showed a high number of opens could yield better results.


3. The number of emails opened per day

You can determine the days of the week with high open rates and tailor your next campaign accordingly.


4. The number of emails opened by time of day

You can determine the time of day when the open rate is highest to decide when to send emails.




How do I use the totle Result Analysis function?

To use totle's Result Analysis function, you must first enable Read Receipt  before sending the email.

How to use Result Analysis


1. When sending an email from Outlook,

  • Enable Read Receipt in Message tab → totle menu → Sending Options.

2. After sending the email, double-click the message in Sent Items to analyze its performance.

3. Click the Read Receipt menu in the totle menu under the Message tab.

4. If you click the Read Receipt menu, the Read Receipt pop-up window will appear.

  • At the top of this pop-up window, click the Result Analysis menu.

5. Clicking Result Analysis displays the detailed Email Sending Results window.

  • Here you can view not only the results of the overall email sending, but also the performance data for email sending, such as results analysis by recipient, number of emails opened, and the number of emails opened by time of day.

  • ☞ Result analysis data by recipient
    • Recipients who have opened the email the most can be assumed to have a strong interest in the promotion or content it contains.
    • If you send this recipient follow-up marketing campaigns or promotional emails, you can anticipate these campaigns to outperform emails sent to other recipients.
  • ☞ The number of emails opened per day
    • After sending an email, you can identify which days of the week recipients open it most frequently.
    • A/B testing hypotheses and sending emails on different days of the week are also excellent methods for improving the performance of your email campaigns.
  • ☞ The number of emails opened by time of day
    • You can see at a glance at what times your recipients open your email the most when you send an email. 
    • By knowing what time the recipients read your emails the most in the morning or afternoon, you can rapidly improve email performance and more efficiently by sending emails when the recipients is most likely to open them.
